Wine Club Assistant

Historic Halter Ranch is a vineyard and winery located in the heart of the Paso Robles' Westside Adelaida District. Halter Ranch is seeking an organized, customer service oriented, friendly, trustworthy, professional to join our team.

POSITION

Under the guidance and direction of the Wine Club Manager, the Wine Club Assistant will be the first point of contact for all Wine Club member communication via phone, email, and live chat on the website. Best-in-class customer service and a genuine desire to build connections and relationships with members and guests is a must. Responsibilities will include customer service, wine club sales, data entry, management of shipping orders, and general wine club-related administrative tasks. Must be a self-starter with the desire to learn, grow, and adapt with the business.

Essential Functions:

  • Phone and email support for all wine club member related inquiries
  • Process orders via phone, email, and live chat feature on the website
  • Enter new member applications
  • Provide monthly membership reports to the accounting team
  • Reconcile and approve shipping invoices
  • Manage all daily and club shipping orders, including but not limited to: redirects, returns, and weather-holds
  • Assist in managing off-site inventory
  • Ongoing account maintenance for club members, including updating payment and address information as needed
  • Proactively recommend creative ideas for member retention/acquisition and propose suggested changes to current processes if needed
  • Be main point of contact for our third-party fulfillment center in regards to shipping needs
  • Assist Wine Club Manager with wine club release billing, shipping, and general planning
  • Manage all wine club pick-up orders in conjunction with Tasting Room Manager
  • Highly developed attention to detail and organization skills
  • An enthusiastic and supportive work ethic
  • Excellent verbal and written communication
  • Exceptional project management skills
  • The ability to work independently and in a fast-paced, team-oriented environment
  • Proficient with Microsoft Word, Excel, Outlook, and CRM Software
  • Must be self-motivated, reliable, punctual, and team-oriented
  • Must be able to lift 40 lbs.
  • Must be available to work occasional weekends and evenings for special events
  • Other related duties as assigned

Qualifications/Requirements:

  • Four-year related degree preferred
  • Two-three years of experience in wine club administration and procedures
