Member Special Events Coordinator

Historic Halter Ranch is a vineyard and winery located in the heart of the Paso Robles' Westside Adelaida District. Tradition and innovation mix at Halter Ranch to produce Bordeaux and Rhône-style wines of the highest quality. Halter Ranch is seeking a Member Special Events Coordinator to join the Halter team.

POSITION

The Member Special Events Coordinator will be the first point of contact for member events, private events, wedding guests, and onsite member accommodations.

The position will work closely with our wine club manager, marketing manager, tasting room managers and facilities team. Candidates must demonstrate excellent verbal and written skills, possess outstanding computer skills, and have the ability to engage and provide the ultimate in customer service. A gracious and engaging personality and a passion for providing authentic, personalized experiences is required. This person must also enjoy working in an open office environment and be available to work extended hours and weekends, no exceptions.

Business development and sales will be a key element of success for this position as well as planning amazing unforgettable events. Networking inside and outside the community to develop relationships with new and existing clients. Responsible for selling all private functions, including meeting with the clients to determine needs, meeting those needs and exceeding their expectations through detailed communication. Creating proposals for clients.

Manage accommodations calendar for 3 houses. Manage maintenance and cleaning schedule for houses. Ensure the houses are stocked with appropriate supplies, food, wine, and other special items.

Ensure all services administered to our guests are consistent with expected level of service.

Responsible for assisting in managing venue during weddings and private event. Work with the Executive Chef or establish profitable and competitive private event menus that meet clients’ needs. Generating a definitive sales and marketing plan to achieve departmental revenue goals.

Handles inquiries, solicit new business through activities including but not limited to telephone sales, site visits, and online leads. Conduct venue tours of the event spaces for weddings and private events.

Coordinating master event calendar under the direction of the Halter Ranch Wine Club Manager and Assistant Manager.

Act as a logistics lead on, on-site private events, including weddings, by handling legalities, managing backend paperwork and budgets. Acts as a contact for wedding and private events clients, duties include by not limited to communicating all company policies, conduct walkthroughs, and process wine orders. Assist in the design and creation of collateral for weddings and private events.

Planning, designing, and executing all on-site Halter Ranch events, such as winemaker dinners, pick up parties, masterclasses, vineyard hikes, etc. Act as liaison between coordinator and vendors. Maintain events inventory.

REQUIREMENTS

  • Two years’ experience in a catering/private events position
  • Proven track record in event sales and business development within the hospitality, resort or related industry.
  • High energy and outgoing personality
  • Organizational skills and attention to detail
  • Proficient in Microsoft Word, Outlook, CRM Software and Excel
  • Diplomatic team player able to foster relationships with Members, employee partners and guests.
  • Possess excellent communication & organizational skills.
  • Able to lift 45 pounds.
  • Stand for long periods of time.
  • Be energetic, accountable, and team oriented.
  • Maintain appropriate dress and personal hygiene standards.
  • Able to multitask in a fast-paced environment with a positive attitude.
  • Must be available to work weekends and evenings
  • The ability to work independently and in a fast paced, team-oriented environment
  • A genuine interest in meeting and assisting new people
  • Must be self-motivated, reliable, punctual and team oriented
